- To assess demand for our services, including during testing or pilot periods, which may not result in data being shared with installers immediately.
3. Lawful Basis for Processing
- Consent – when you submit your details for solar quotes or marketing and explicitly agree to data sharing.
- Legitimate interests – to operate our service efficiently, match homeowners with installers, and ensure system security.
- Legal obligations – when necessary to comply with laws or respond to lawful requests.
4. Sharing Your Information
With your explicit consent, we may share your enquiry details (“Lead Data”) with a small number of trusted, vetted solar installers and related service providers so they can contact you directly to provide quotes or advice. We may transfer this data in exchange for a service fee to maintain our platform and lead-generation operations. This sharing is performed under strict written data-processing agreements that require our partners to use your information only for the stated purpose and to handle it securely.
We do not sell your personal data to unauthorised or unrelated third parties.
We may also engage third-party service providers (“data processors”) who help us operate our business, such as:
- Website hosting and IT infrastructure providers
- Email communication tools
- Analytics and tracking software (e.g. Google Analytics)
All processors act under written data-protection agreements and are required to keep your information secure and confidential.
5. International Data Transfers
Some service providers may process data outside the UK (e.g. in the European Economic Area or United States). Where this occurs, we ensure that appropriate safeguards, such as UK-approved Standard Contractual Clauses (SCCs), are in place to protect your information.
6. Data Retention
We keep your personal data only for as long as necessary to fulfil the purposes described in this Privacy Policy or as required by law. Our standard retention periods are:
- Lead/enquiry data in our CRM (e.g., HubSpot): up to 24 months from your last interaction or our last attempt to contact you, unless you request deletion sooner.
- Customer service communications: up to 24 months from resolution of the enquiry.
- Installer-matching and billing records: up to 6 years to meet tax, accounting and audit requirements.
- Marketing consent logs: up to 6 years to demonstrate that consent was obtained (or until you withdraw consent, after which the log is retained as proof of withdrawal).
- Suppression (“do-not-contact”) lists: retained indefinitely (minimum necessary data) to ensure we honour your opt-out.
- Website/server logs: up to 12 months for security and diagnostics.
- Backups: encrypted backups are held for up to 35 days and then overwritten on a rolling basis.
Where data is no longer required, we will securely delete or anonymise it. Anonymised data (which can no longer identify you) may be retained for analytics and reporting.
7. Your Data Protection Rights
Under the UK GDPR, you have the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Request deletion of your data (“right to be forgotten”).

How to request deletion (erasure)
You can request deletion of your personal data by emailing privacy@solarforhelp.co.uk. We may ask you to verify your identity to protect your data. We will respond within one month of receiving your request (this may be extended by a further two months for complex requests, and we will let you know if we need more time).
If we have already shared your enquiry with our installer partners (with your consent), we will notify them of your deletion request where feasible and ask them to action it. Because partners act as independent data controllers for their own contact with you, you may also need to contact them directly to exercise your rights.
We may retain limited information where required by law (e.g. tax/audit records) or to establish, exercise or defend legal claims. If you opt out of marketing, we will keep your email address on a suppression list to ensure you are not contacted again.
8. How We Protect Your Information
We apply appropriate technical and organisational measures to safeguard your data from unauthorised access, loss, misuse, or disclosure. However, no system or online transmission is completely secure, and we cannot guarantee absolute security.
